The Challenge
Restricted money is handed back unspent while another programme runs short in the same month. It persists because fund balances become visible only after the quarterly close and nobody forecasts burn.
How It Works
- Reads the fund accounting ledger, grant budgets, cost allocation rules and committed spend.
- Forecasts burn to each fund's end date and compares it with the approved budget line by line.
- Warns the finance lead early enough to request a reallocation or a no-cost extension.
What It Removes
- Quarterly spreadsheet rebuilds of fund balances
- Manual splitting of shared costs across funds
- Late discovery of underspend near a fund end date
Input Data RequirementsFund accounting ledger, grant budgets and end dates, cost allocation rules, purchase commitments, payroll allocations, restriction terms
Output FormatBurn forecast per restricted fund to its end date, an underspend and overspend warning list, and a reallocation shortlist with the governing terms
“We handed money back on one grant in the same quarter we cut staff hours on another”
